How far ahead: As early as you can. December and summer Saturdays are asked about first, so if your date is one of those, get in touch as soon as it is set.
What the venue needs to know: Load-in access, power, stage size and any sound limits. If speeches or presentations are on the agenda, tell us who runs the microphone.
